Fieldtrip Guidelines

Registration

Please Note: You must use the email address JCS has on file for registration. If you are unsure which email is on file, please contact your EF for this information.

Prior to clicking on “Sign Me Up” click on the event name and carefully read the field trip details. Register each individual student separately. Do not register JCS students as “guests.” Register one adult per family, unless otherwise indicated in the field trip details on the website. Field trips should correspond with an area of study within the student’s Personalized Learning Plan. 

Complete registration includes:

  • One adult per family registered/paid as a quest. Siblings (if allowed) registered/paid as quests.
  •  After the deadline date, students registered without an adult (one adult per family) will be canceled unless prior written notification is received clarifying your student’s attendance. i.e. attending adult has a different last name and is registered under a sibling or student is attending with another JCS family.
  •  A Drivers form is required for students attending with another JCS family containing the driver’s information. (download the form during field trip registration process)

Emergency Contact

List a name and telephone number of a person not attending the field trip.

Confirmations

 Confirmations are a two-step procedure. 1.  You will receive an email from Sign Me Up automated system confirming receipt of your student’s registration request.  2.  You will receive a second email from the Field Trip Coordinator confirming that your student(s) will be allowed to participate once all registration information has been completed, and fees are received and processed. Confirmations will include field trip details i.e. directions, parking, and venue rules.

Cancellations

 To avoid cancellations, please check your calendar for prior appointments before signing up for field trips.

In the event a reservation must be cancelled, please contact the Field Trip Coordinator: alyons@juliancharterschool.org immediately so another student can participate. Failure to attend a field trip without a twenty-four hour cancellation notice will result in loss of field trip privileges. More than one non-emergency cancellation will result in loss of priority for future field trips.


Wait List

Students will be put on the wait list if:

  1. the field trip’s capacity is full.
  2. Incomplete registration request i.e. missing information or admission fees, student registered without an adult, student signed up as guest. 

Wait list students will be notified via email with the option to participate on a first come, first serve basis and up to an hour before the field trip.

Refunds

 JCS field trips are paid in advance. A refund request cannot be granted once the initial field trip registration deadline has expired.

Field Trip Allowances Per Semester

 JCS students can sign up and attend three (3) field trips per semester. If a field trip is not full two weeks prior, an "All Call" will be placed on our website  or sent via email and any student may sign up to attend, regardless of the number of field trips attended to date.

Grade Level Recommendation

 Most JCS field trips will have a grade level recommendation and siblings in other grade levels are welcome to attend.

Specific Grade Levels

Some venues or programs will only allow specific grade levels and will not allow other grade levels or siblings to attend.

Parent Attendance

Field trips are curriculum based and educational, most venues limit parent attendance to one parent. We are not in favor of this type of policy, but must enforce the venue restrictions. One adult per family is required to attend with their child and monitor his/her behavior, or assign another adult to do so; this excludes the JCS Educational Facilitator that is in charge of activity. Some venues restrict parent attendance, only allowing the JCS Educational Facilitator to attend the tour/activity. Alternative options will be posted and emailed to parents in these cases.

Field Trip Etiquette

 The JCS discipline and behavior rules are found in the parent handbook. All students and participants are expected to adhere to behavior and age guidelines for all field trips, and the rules pertaining to etiquette, food and drink consumption for the venue. Failure to comply with the JCS discipline and behavior rules will result in loss of priority for future fieldtrips.

Rain or Shine

 JCS field trips are rarely cancelled.  Most JCS field trips will occur rain or shine. Participants are expected to prepare appropriately for weather conditions.
